Job Summary

We are seeking a detailed-oriented and proactive Administrative Assistant to support our team and ensure the smooth operation of our office, The ideal candidate will be a strong communicator, highly organised, and able to handle a variety of tasks with professionalism and efficiency.

Duties of Job

1. OFFICE ADMINISTRATION
- Manage and maintain office supplies, equipment, and inventory
- Oversee office cleanliness and organisation and access control, ensuring a professional and welcoming environment

2. ADMINISTRATIVE SUPPORT
- Provide administrative support to executives and team members as needed
-Prepare and proofread documents, reports and presentations
- Manage and maintain filing systems, both electronic and paper-based.

3. COMMUNICATION
- Handle phone calls, emails, and other correspondence with professionalism and discretion
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Greet visitors and clients, and ensure a positive and professional experience

4. DATA MANAGEMENT
- Enter and update data in various systems and databases
-Assist with data collection and reporting for internal and external purposes

5. EVENTS COORDINATION
- Assist with planning and organising company events, meetings and conferences
- Prepare events materials, coordinate logistics, and manage attendee communications

6. PROJECT ASSISTANCE
-Support various projects by conducting research, compiling data, and preparing materials as required
- Asist in tracking project progress and meeting deadlines

7. FINANCIAL ADMINISTATION
- Assist with basic bookkeeping tasks, such as processing invoices and expense reports
-Manage and monitor office expenses

8. COMPLIANCE AND CONFIDENTIALITY
- Ensure compliance with company policies and procedures
- Maintain confidentiality regarding sensitive information and company date
- Prepare and maintain statutory documents
